Expo Booking terms

We request you to spend 2 minutes reviewing our terms and cooperate with them for a successful expo.Your careful attention to these terms is highly appreciated. By paying the advance, you proceed with the understanding that you agree to these terms.

Crew Booking

  1. Please book the crew as early as possible to secure the best profiles. We accept bookings up to 180 days in advance.

  2. Last minute bookings may not guarantee crew availability, so it's better to book early!

  3. For large crew bookings, a supervisor will be provided at an additional cost.

Crew Profiles

  1. Once we receive your request, we will send available Hostess and other crew profiles.

  2. You have full control over crew selection, but we can assist with recommendations if needed.

Crew Uniforms & Styling

  1. We provide specially designed uniforms. You will receive photos of the uniforms via email or WhatsApp during profile selection.

  2. Uniforms are fully customizable to match your expo theme. Let us know your requirements in advance.

Crew Roles & Responsibilities

  1. All crew members are trained and assigned specific roles. No amateurs are involved.

  2. If you require any additional tasks, please provide detailed instructions at the time of booking.

  3. Changing roles during the event without informing the supervisor can lead to a loss of focus and efficiency.

Equipment Handling

  1. The crew will assist with handling exhibitor materials, but we are not responsible for any damages.

  2. We request you supervise or provide proper instructions during handling.

Crew Work Hours

  1. Standard work hours are 9:30 AM to 5:30 PM (9 hours). Extra hours may incur additional charges.

  2. For longer events, we offer shift based hiring (standard shift is 8 hours), and night shifts are also available.

Crew Replacements

  1. If you're dissatisfied with any crew member, contact our supervisor immediately, and we will arrange a replacement.

  2. In case of emergencies, we will replace the crew and inform you beforehand.

No Liability

  1. We are not liable for any damages caused by attendees or external factors, including theft or missing items.

  2. Please conduct security checks when the crew arrives and departs.

Outstations

  • For venues Except (Chennai Trade Centre-Chennai, Bengaluru International Exhibition Centre -Bengaluru, CODISSIA - Coimbatore, HITEX Exhibition Centre - Hyderabad, Adlux International Convention Centre - Ernakulam) transportation, accommodation, dressing rooms, and restrooms must be provided by the client.

Client Responsibilities

  1. We request your presence during crew briefing to ensure smooth operations and to clarify any additional tasks.
  2. For small crew sizes, we do not provide a supervisor, so you must monitor the crew.
  3. According to our policy, crew members are not allowed to use mobile phones in the stall unless permitted by you.
  4. If you collect their phones, please allow emergency calls when necessary.
  5. Lunch must be provided on time, with crew taking turns to eat. If you are unable to provide lunch, please reimburse their food expenses.
  6. You are responsible for the crew’s safety. We maintain a zero tolerance policy for threats. If a crew member feels unsafe, we may withdraw our services.
  7. No vulgar or abusive language is allowed. If there’s an issue, please inform the supervisor immediately.

Payment Terms

  1. All quotes include transportation, but meals are not covered.
  2. A 50% advance payment is required to confirm the booking, with the balance due on the last day of the expo.
  3. We do not offer credits or accept payments after the expo.
  4. We do not charge any GST. If TDS processing is required, please inform us at the time of booking.
  5. Additional hours worked beyond the agreed schedule will be charged, but we do not charge for less than one extra hour.

Cancellations

  • Cancellations within 48 hours of the event will incur a 25% fee.

Rentals

  1. We request you to book rentals as early as possible or at the time of crew booking. Last minute rental requests will not be accepted.
  2. We cannot guarantee the availability of all rental items at the time of booking.
  3. Upon setup, we request you to check the rental items for any damage or malfunction.
  4. Rental items must be returned in their original condition, without any damage or breakage. You are liable to pay for any missing or lost items.
  5. Our team will be on-site to address any issues with rental items. In case of malfunction, we will replace the item immediately. Please contact us if any issues arise.

  1. We value your feedback! After the event, we encourage you to share your thoughts on crew performance and overall service.
